Let’s dig in!

Have you been trying to sync your Email Campaign metrics from Act-On Software, Constant Contact, Mailchimp, Pardot, and others back to Zoho CRM Campaigns, Campaign Response custom field, Custom Modules or even Notes?

To make this process easy to understand, we have assembled a list of questions from some of our subscribers along with our answers. We are sure that you will find a question that relates to your query and you will be set.

One of our subscribers was having issues with syncing Mailchimp to Zoho CRM and this is what they asked:

Subscriber 1:

SyncApps is great as it saves us hours each month with syncing, yet we also would like to have a 1:1 relationship between the Zoho CRM Campaign and the Mailchimp Campaign metrics. Is this possible now in SyncApps?

Yes, this is possible. We finally have this feature now on our Zoho CRM integrations.

This great feature allows you to choose to let SyncApps sync the Mailchimp Email Campaign metrics back to Zoho CRM Campaigns, Campaign Response custom fields, Custom Modules or even Notes. See? Easy! We try to make your experience as seamless as we can!

If you would like to create a new Zoho CRM Campaign and sync to it, then this is how you go about it:

Open your account and in the Setup portion of your integration, select the feature “Create a new Zoho CRM Campaign and Sync to it”. Check out the image above for reference.

This will let SyncApps create the Zoho CRM Campaign and sync back metrics to it from Active Campaign, Mailchimp, Constant Contact, Pardot, and others.

Another subscriber had issues with Active Campaign to Zoho CRM. Does this sound like you?

Subscriber 2:

We use Active Campaign and just want to have the Email Campaign metrics flow back to Zoho CRM, so our sales staff can see who opened the email before they call on a prospect or customer. Can we do this in SyncApps?

Certainly! This is why we have made this very simple to do. Just use the “Sync to Campaign Response Field” feature to integrate the Zoho CRM Campaign Response Field on the Lead or Contact record.

You can also Sync to Campaign Response Field by following the following steps:

Simply add a custom field with the name "Campaign Response" of Multi Line data type with Large Character Limit (32000 characters) to the Contacts and Leads module layouts in Zoho CRM.

Are you having problems creating custom fields? Please tap here for instructions. No headaches, just solutions. As you will see from the instructions, it’s also easy to do.

Another subscriber wants to know how to use Constant Contact with Zoho CRM.

We use Zoho CRM notes a lot!  Can we see the Campaign activities there instead?

Go to the “Campaign Response Sync Method” and select the “Sync To Contact/ Lead Notes (Beta) option, in Step 1 of your integration setup. Check out the illustration below for reference.

Sync to Contact/Lead Notes.

Lastly, we also have the ability to sync back to the Original Zoho CRM Campaign, Custom Modules as well.

How It Works

When integrating back to the Original Zoho Campaign, every Zoho CRM Campaign that you create and sync over to a Mailchimp List/Group will also send the Mailchimp Email Campaign metrics back to the original Zoho CRM Campaign. It’s not rocket science, just follow these steps:

  1. The first thing you do is select "Campaign Response Sync Method" and choose "Sync to existing Zoho CRM Campaign with the same name".

NOTE: For this to work, the Zoho CRM Campaign name needs to be the same as the Email Campaign name you send out. It’s very important to always double-check whether the two are a match. Please confirm before continuing.

  1. Have you confirmed? Good. Now, after completing your Sync Profile in Step 1 and Step 2 press the Save button.  This will land you back on your Dashboard.
  2. To begin integrating your software, press the Sync Now button.

Doing this will allow you to see results on the Lead or Contact records in Zoho CRM for your Campaign metrics. You will also see them in aggregate in Zoho CRM as shown below.

Another subscriber wanted to know about Pardot to Zoho CRM. They wanted to know how to sync existing Zoho CRM Campaigns with the same name.

Do we need to add the Leads/Contacts to the Email Campaign also or will they automatically be added via the integration?"

We don’t want you to have to do anything manually, except maybe manage your account.

The leads/contacts are automatically created in your Zoho CRM Campaign as Campaign members from Zoho CRM.

Here’s how to set it up:

  1. Create a Campaign in Zoho CRM and add members to be included in the Zoho CRM Campaign with your Leads or Contacts (2 Sync Profiles are needed, one for Leads and one for Contacts).
  2. Select the Zoho CRM Campaign to be synced to your Marketing Automation List/Group in Step 1 of your Sync Profile.
  3. Complete the rest of your Sync Profile and save it.
  4. Press Sync Now.
  5. The Zoho CRM Campaign will be synced to your Marketing Automation List/Group with the Leads and Contacts you included.
  6. Next, create an Email Campaign in your Marketing Automation solution with a name which matches the one created in Step 1 for your Zoho CRM Campaign. This is also included in your List/Group members synced on Step 2.
  7. When you send the Email Campaign to your List/Group named in your Sync Profile(s), the Campaign Response will sync too.
  8. Campaign Responses from your Marketing Automation solution will now sync to the original Zoho CRM Campaign in subsequent syncs.

Try it and you’ll be able to see your Opens, Clicks, Bounces, and Links Clicked in your Zoho CRM Campaigns today!
