Dynamics 365 Marketing Automation Solution Records Flow

Understanding the basic flow of the records for this integration is super simple!

Let's take a look!

The selected Object/Module type is what SyncApps will be syncing.

If you have selected "Contacts", only the Contact type of records will be synced to your Marketing Automation Software's Main List/Audience.

If wanting to sync Leads, you'll need to set up another Set Up as you are only allowed to select 1 Object Type per Set Ups. (Options are to purchase our Additional 2 Set Ups OR upgrade to one of our plans to grab more Set Ups + features)

For this use case, we'll use "Contacts" as the Object/Module Type.


Flow: Dynamics 365 to Marketing Automation Solution, which is under your Contacts in Dynamics 365, together with the basic fields such as Email Address, First Name, Last Name, and Phone Number, will be synced to Marketing Automation Software's specified Main List/Audience in Step 2 of the Set Up, if the record does not exist at the time of syncing.

SyncApps uses the standard email address, so if a record does not contain one, SyncApps will ignore that record and will not be synced to your Marketing Automation Software.

Flow: Marketing Automation Solution to Dynamics 365

Both new record(s) and existing ones that belong to your Main List/Audience will be synced to Dynamics 365.

If you have pre-existing record(s) in your Marketing Automation Software's Main List/Audience, SyncApps will sync them to Dynamics 365 by default. However, if you would like to have field mapping from existing records in Marketing Automation Software to update Dynamics 365, you will need to make sure to have the Field Mapping enabled and set the mapping of the fields.

General use-case


What happens when I use CRM Marketing Lists? Does it also update all my CRM records to Mailchimp? How does it work from Mailchimp to CRM?

  • When you selected the specific Marketing Lists in Step 1 of the Set Up, only the records inside those Marketing Lists will be updated in Mailchimp during the sync. All CRM Contacts/Leads outside the selected Marketing Lists will not be updated to Mailchimp.
  • If there are record updates from Mailchimp Audience or in the Groups under that specified Audience, those updates will be synced back to CRM.
  • Also, if there are new records that will land to your specified Audience, by default, those will be created as new records in CRM's Contact/Leads tab if those records do not exist at the time of syncing.
  • Also, if using the option "Need to update Dynamics 365 when subscribers update their Profiles in Mailchimp?" in Step 2 of the Set Up, records will automatically be updated with the use of Webhooks. Please note that Mailchimp uses Webhooks technology which means that if there are record updates from the Mailchimp Audience side, those will sync back to CRM records in real-time even if without initiating the sync in your Set Up.
