Mailchimp To Salesforce Guide For Group(s) Or Tag(s) Segmentation

 

Using Mailchimp Groups and Tags is one of the best ways to segment your Audience so that your automation can take on a life of its own as new subscribers are added.

Using a no-code solution for integrating your Salesforce records to Mailchimp so that they are added to Groups and Tagged appropriately is the next level of automation to connect your Sales teams with your Marketing efforts in Mailchimp.

Salesforce Setup

In Step 1 of your integration, there are options to use Campaigns, List Views to segment to Mailchimp Groups, and Tags under your Main Audience. 

Let's take a look at how using your Salesforce Campaigns to create Mailchimp Groups or Tags works:

Each selected Salesforce Campaign will be created as a Group under your Mailchimp Audience > "My Groups" Group Category which SyncApps will automatically create > Groups.

You can also choose to create Tags for each Campaign as well but not Groups and Tags in one integration. Just set up another integration for that use case.

Mailchimp Setup

Connect your Mailchimp account in this step by tapping the “Connect” button. You will then be directed to the oAuth page that’ll log in to your software. For some, they’ll need to enter their Mailchimp credentials here.

Or you can generate a new API Key, copy then paste it in the API key box in Step 2 of the Sync Profile.

To obtain a Mailchimp API key please log into Mailchimp, press the Top Menu: Account > Extras > Your API Keys. Create a new API Key or copy an existing API Key into SyncApps.

A Mailchimp Audience can be selected from the dropdown of available Mailchimp Audiences. 

Note: We require to define the Main Audience because Mailchimp needs it in creating, updating, and removing records using its API.

If you would like to sync to a different Audience in Mailchimp, you'll need to set up another Sync Profile for that use case. 

Next, select the "Segmentation Method"

This can either be "Use Groups" or "Use Tags". Those selected Salesforce Campaigns in Step 1 will be created as a Group or Tag depending on what you have selected on this option.

Do you need to manually create the Groups or Tags in Mailchimp? 

No, as SyncApps will automatically create these for you using the names of your Salesforce Campaigns or List Views. 

We will also remove them automatically as well if you need them. More on that here.

Hit Next Step up until you reach Step 6, tap the "Finish" button, and tap the "Sync Now" button.

Testing Your Use Cases

In Salesforce, create a test record (If needed), like your personal email address so that you can send a test newsletter from Mailchimp and add that Contact or Lead to a Salesforce Campaign.

Note that SyncApps looks at the Salesforce email address field as this is the basis for SyncApps for records creations and updates.

If you're using the "Preferred" field for an email address like the Salesforce NPSP Edition then please check this NPSP specific feature below located in Step 1.

Next, create a Salesforce Campaign by tapping the "Campaigns" tab on your Salesforce account. If this does not show then you will need to add a Campaigns Tab to your Salesforce navigation.

Enter a test Campaign that you want to create a Mailchimp Group. Make sure to also mark it as "Active" so that it will be exposed as one of the options in Step 1 of the Sync Profile setup in SyncApps.

Once this is created, add the test record(s) to your test Campaign.

Using Filtering and Segmentation in Step 5 for Group or Tag Segmentation in Mailchimp

If you don't have a Campaign feature in Salesforce or your organization just does not use Campaigns in Salesforce, then this is another workaround for segmenting the records in Mailchimp.

This also works the same way to segment your Salesforce records to Mailchimp as we automatically create a Group or Tag in Mailchimp.

The huge difference is just that you do not need to manually create a Campaign in Salesforce, you'll need to specify a Contact or Lead field that can be a basis for filtering specific records to be synced over to Mailchimp.
